Team Managers: Here you will find the latest information on your responsibilities as a Team Manager within the Charles River organization.

Once the introductions are out of the way and everyone has begun the process of putting names together with faces, start collecting everyone's contact information if you do not already have it.  Be sure to include cell phone numbers.  There is a lot of travel for our teams, getting lost, stuck in traffic or just running later than one thought it would take to get somewhere is a frequent occurrence.  By having a 'cheat sheet' that has everyone's cell phone numbers available it makes it very easy to let the team know your situaton. 

Get a spiral notebook or multi pocket folder!  You WILL be grateful for the organizational tool as the season gets going.

National & Non-National Bound Team Managers must collect the following at start of season: Code of Conduct for player and parents, Consent to Treat & Birth Certificates.   Game sheets must be kept accurate from start of season.  Cross off any player not in attendance at any game, make a copy of every game sheet and fill in your Credentials Verification Sheet as you go along.  Doing this as you go along will prevent many unneccessary last minute hours of paperwork come tournament time!

Rosters: Unless otherwise notified, each head coach will receive 2 rosters via email prior to their first practice.  One will contain player information together with addresses, the other will contain only player names and dates of birth.  BOTH rosters must be signed by each player EXACTLY how their names are listed on the roster.  DO NOT allow anyone to write in any corrections or changes.  The information listed in the rosters is listed exactly how their  parents registered them with USA Hockey.  If a parent had a typo in their child's name, as far as USA Hockey is concerned, that is how that child spells their name and the roster must show the same  information.  Once you have obtained all signatures, BOTH rosters must be returned to me.

Code of Conduct Forms: Available in Documents section of website.  Have each player and parent print, sign and turn into you.  Keep in your team book for season.

Game Sheets: Team Managers of all 1 and 2 level teams U10 through U19 are REQUIRED to keep a copy of every game sheet from every game the team plays.   Copies of these game sheets together with a verification sheet will be REQUIRED to be submitted to MA Hockey prior to the State and National qualifying tournaments.  Any team that does not have all documentation required, will be disqualified from the tournament.  You will be provided with a Credentials Verification Sheet in your packet as well.  It is strongly recommended that you keep this updated after every game so that when it comes time for the tournament you are prepared with your documents ready to be filed.

Birth Certificates: Obtain copies of all players birth certificates and keep in  your team book together with your Code of Conduct forms. In the event your team qualifies for Nationals you will be required to submit copies of these.  Until such time, keeping them in your team book is sufficient.

Consent To Treat Forms: This document can be found in our documents section.  Have one filled out and submitted to you for every player on your roster.  Although they are rarely needed, they are  necessary if a player receives an injury that requires medical treatment and their parent is not available.  These are required to be available for inspection by MA and USA Hockey prior to the start of either or both the District qualifying Nat'l Tournament or Non-National State tournament.

Game Sheet Labels: Your coaches will love you.  Create game sheet labels that include each players name, number and be sure to include the coaches names, CEP level and number on the bottom as well.  If you are unsure which labels to use or how to create these just let me know.

TOURNAMENTS Visit the Tournaments page on our website for a listing of all known tournaments available to our teams.  1 and 2 teams will automatically be entered into RI Panthers Thanksgiving Tournament or Cranberry Classic, Polar Bear Christmas Tournament, CR’s Presidents Day, National and Non-National tournaments. 3 & 4 teams may be offered spots in Presidents Day if ice time is available for their divisions.  All other tournaments are self-paid by the team and participation is completely voluntary.

Lodging for out of state tournaments: If your team is going to an out of state tournament that is not the CT Polar Bear tournament, locate a hotel, reserve a block of rooms under your team name and then forward the contact information to your team so that each family can make their own reservations.  You will not need to provide your credit card information in order to do this.

CT Polar Bear Tournament - they will provide us with a link to go to their hotel page where you will be given a choice of a handful hotels that will be in the general area of where you are playing.  Unfortunately we typically have to do this long before the schedule comes out so it's a crapshoot on whether or not you're close to your rink or closer to 30 minutes away.  We do not have the option of making private reservations, they will disqualify a team for not using their hotel process.

Most importantly DELEGATE! Your coaches are here to coach, you are here to handle the admin end of things for them.  Do not hesitate to recruite fellow team parents to give you a hand with any of this stuff, it can be alot, especially for the first time team manager.
